
2010 TORC / USAC Photo Policy
Access
1.1 Agreement. Each photographer/videographer must sign the TORC Photo Policy to be granted access to shoot any TORC event. By signing below, you are accepting and agreeing to the terms of the TORC photo Policy and accepting the grant of limited license by TORC to enter TORC premises and shoot TORC events. Use and reuse of all images shot is governed by this TORC Photo Policy.
1.2 Responsibility to Comply Photo Policy. In order to facilitate trackside access, photographers are required to confirm whether there have been any changes to TORC photo policy in advance of each event he/she attends. In addition all media should check-in daily at the Media Center for possible Photo Policy changes or modifications. Photographer agrees to comply in all regards with TORC Photo Policy including any modifications made by TORC thereto, which modifications will be available from the TORC Media Department.
1.3 Age Requirement. Media applicants must be at least 18 years of age to receive a TORC-approved media credential.
1.4 Credentials. Media applicants must apply for a media access at least 7 days prior to the event weekend. A TORC Media Pass must be worn and easily visible at all times. TORC credentials are non-transferable. A TORC Release & Waiver of Liability and TORC Photo Policy must be signed to enter the venue. TORC reserves the right to approve or deny all credential requests, and revoke credentials, prior to or during any event. A fee will be charged by TORC-USAC to obtain media credentials.
1.5 Track Access. Media will be granted specific zone access based on their qualifications. These areas will be designated at the beginning of the event weekend and media will be advised of these areas upon their arrival. Access designations will be at the soul discretion of TORC, and are subject to change on a race by race basis. Compliance with all TORC rules is required at all times while in restricted Photo Areas. Photographers are not permitted beyond Restricted Photo areas at any time. When a race begins, no entry or exit will be permitted to on track media zones. When on the track, media will only be permitted to change locations with permission from TORC Tech and only before or after races. Photographers are not permitted on the racing surface at ANY time during the race. Access is designated by vest color:
Blue- Broadcast Television (all access)
Yellow- Track Access
Orange- Limited Track Access
1.5.1 Retaining Wall / K-Rail. Photographers are not permitted over the track wall/k-rail at anytime during the event. Do not stand on or lean against or over the retaining wall/k-rail at anytime. Cameras and equipment should not be mounted on or placed against the retaining wall or k-rail.
1.5.2 Winners Circle Access. At the conclusion of the race, access to the winners circle is permitted. The track must be clear of all race vehicles before crossing the track.
1.5.3 Hot Pits/Staging. Media are only permitted in the hot pits/ staging area up until ten minutes prior to the race start. Photographers and Reporters must be aware of their surroundings and stay out of the way of TORC Tech Crew, drivers and other working crews.
1.8 Skybox. The Media Skybox is dedicated to working media. The Media Sticker/ Wristband are required for admission to the Media Tower, see the Media Director upon check in to request access. Please be courteous to other photographers and journalists, as space is limited. If you are done covering a race, please exit.
1.9 Violation/Revocation. Violation of any part of this policy will result in immediate revocation of privileges, and possible legal action, in the sole discretion of TORC.
CONDUCT
2.1 Compliance with the Direction of TORC Staff; Non-Interference with Event. Photographer shall not interfere or impede any spectators, other media personnel, the conduct of the race or any part of the event, the video taping of the race or any part of the event, and shall follow all instructions of TORC personnel directing the race.
2.2 Precautions/Danger. Be safe. Do not take your eyes off or turn your back to the racing vehicles.
2.3 Attire. All media must wear full length shorts pants (no short shorts), shirts with fully-covered shoulders, and shoes with closed heels and toes (no open toed shoes, sandals, clogs, etc.)
2.4 Media Vest. A TORC photographer’s Vest must be worn at all times while in Track Photo Areas. Your vest color designates media type and media access. (See 1.5) Please return the vest to TORC staff upon completion of your assignment. (A $100 FEE WILL BE ASSESED TO HOLDERS OF UNRETURNED OR LOST PHOTO VESTS IMMEDIATELY FOLLOWING THE EVENT.)
2.5 Ladders. Ladders with two or fewer steps are permitted. Do not place or lean ladders against retaining walls or catch fence.
2.6 Courtesy. The Restricted Photo Areas and Skybox are working areas. Please be courteous to colleagues and leave when you are not working.
ACCREDITATION; USE OF IMAGES AND VIDEO
3.1 Legitimate Assignment Required. Only accredited photographers on assignment for a TORC-recognized news media outlet or other TORC-accepted media outlets will be permitted to photograph TORC events. TORC does not generally recognize agencies or freelance as media, and may in its sole discretion determine who is or who is not TORC-recognized. A license fee will be assessed for all media commercial in nature.
3.2 Legitimate Assignment Required. All photography and video use is restricted to reasonable contemporaneous newsworthy usage only, and reuse it prohibited except with the express written permission of TORC-USAC.
3.3 No Freelancing. Freelance photographers are not permitted without specific assignment from a TORC recognized media outlet or race team, and expressly permitted by TORC. A credential is always required.
3.4 Rights to Images and Video. All footage taken at any TORC event will be and remain the sole property of TORC-USAC and all usage is subject to restriction and approval. Media agrees to provide TORC with paperwork that usage of material given to their clients is for their own marketing purposes, and that clients are aware that the footage is the property of TORC and is licensed to them only.
3.5 No Commercial Use. All use and reuse of all images and video obtained at all TORC events for commercial purposes are prohibited except in accordance with a written license from TORC. 3.6 Videographers/Video. Per contracts with ABC and ESPN all videographers agree that they may not use more than two (2) minutes of PRO Truck race footage at any time.
